Public Adjuster Community
Privacy Policy
Effective Date: June 9, 2026
Public Adjuster Community (“we,” “us,” or “our”) operates the online professional forum at publicadjuster.community. We are committed to protecting your privacy and handling your personal information with transparency. This Privacy Policy explains what information we collect, how we use it, who we share it with, and what rights you have. By registering for or using Public Adjuster Community, you acknowledge that you have read and agree to this Privacy Policy.
1. Scope of This Policy
This Policy applies to all information collected through the Public Adjuster Community website and community platform. It covers registered members and visitors to our site, and applies to information collected online only. It does not cover information we may collect offline or through other channels.
Public Adjuster Community is intended for insurance and claims industry professionals based in the United States. By using this platform, you represent that you are located in the United States and are at least 18 years of age.
2. Information We Collect
2.1 Registration Information
When you create an account, we collect the following:
• Email address (kept private and never displayed publicly)
• Username (displayed publicly on the platform)
• Password (stored in encrypted/hashed form — never readable by us)
• First and last name
• Professional license number (e.g., public adjuster license)
• State in which you are licensed
• Primary job or professional role (selected from a dropdown)
• Optional free-text field for additional context about your professional background
Providing a license number and licensing state is voluntary but helps our moderators verify your professional standing and assign appropriate membership access levels.
2.2 Usage and Activity Data
When you interact with the platform — reading, posting, replying, or voting on content — we automatically collect:
• IP address associated with your requests
• Server log data (timestamps, pages visited, browser/device type)
• Forum activity (posts, replies, reactions, and content you create)
2.3 Communications
If you contact us directly by email or through the platform, we retain those communications to respond to you and improve our services.
3. How We Use Your Information
We use the information we collect for the following purposes:
• Account creation, verification, and management
• Vetting membership applications and assigning appropriate access levels (e.g., verified public adjuster vs. general industry professional)
• Operating, maintaining, and improving the platform
• Sending transactional emails (e.g., email verification, password resets, important account notices)
• With your consent, sending newsletters, community updates, or announcements
• Monitoring for and enforcing compliance with our Community Guidelines and Terms of Service
• Investigating abuse, fraud, or other violations
• Analyzing platform usage trends to improve features and content
• Responding to your support requests or inquiries
We do not use your information for any purpose incompatible with the above without first notifying you and, where required, obtaining your consent.
4. AI-Assisted Moderation and Participation
Public Adjuster Community uses artificial intelligence (AI) tools to help operate and moderate the community. You should be aware of how AI is used on this platform:
4.1 What AI Does on This Platform
• Content Moderation: AI tools may review posts, replies, and other content to flag potential violations of our Community Guidelines (e.g., spam, prohibited topics, unprofessional conduct). Flagged content may be reviewed by a human moderator before action is taken, or in some cases may be acted upon automatically.
• Content Creation: AI agents may post informational content, start discussion threads, or contribute replies in the forum. When an AI agent posts or replies, it will be identified with a label or indicator distinguishing it from a human member.
• Member Assistance: AI tools may respond to questions or provide information within the platform. These interactions are intended to support — not replace — human community engagement.
4.2 AI and Your Data
In order to perform moderation and participation functions, AI tools process content you post publicly on the platform. We do not use your private registration data (such as license number or email address) as direct input to AI-generated public responses. AI tools may process server-side data, including IP addresses and usage patterns, for security and abuse-prevention purposes.
We use third-party AI providers (such as large language model APIs) to power these tools. Those providers are subject to data processing agreements that restrict their use of your data to providing the contracted service. We do not permit AI providers to use your data to train their models without separate disclosure and consent.
4.3 Human Oversight
AI moderation and participation is subject to human review and oversight. If you believe an AI action was taken in error — for example, a post was incorrectly removed — you may appeal by contacting us at contact@publicadjuster.community.
5. Membership Tiers and Access Levels
Public Adjuster Community uses a moderator-vetted membership model. When you register, a moderator (which may be assisted by AI tools) reviews your application and places you into one of several membership categories. Your category determines the areas of the forum you can access.
Your license number and state licensing information, along with your stated primary job, are used for this vetting process only. They are not displayed publicly and are not shared with other members. Moderators may contact you at your registered email address if clarification is needed during the vetting process.
6. Information Sharing and Disclosure
We do not sell, rent, or trade your personally identifiable information to third parties. We may share information in the following limited circumstances:
6.1 Service Providers
We work with third-party vendors who help us operate the platform. These may include:
• Email delivery providers (for transactional and notification emails)
• Hosting and infrastructure providers
• Analytics providers (using aggregated, non-personally-identifiable data)
• AI and machine learning API providers
All service providers are contractually required to use your data only for the purpose of providing services to us, and to maintain appropriate security measures.
6.2 Legal Requirements
We may disclose your information if required to do so by law, subpoena, court order, or government request, or if we believe in good faith that disclosure is necessary to protect the rights, property, or safety of our platform, our members, or the public.
6.3 Business Transfers
If Public Adjuster Community or its assets are acquired by or merged with another organization, your information may be transferred as part of that transaction. We will notify you by posting a notice on our website or sending you an email before your information becomes subject to a different privacy policy.
6.4 Aggregated or De-Identified Data
We may share aggregated, anonymized data (e.g., platform usage statistics) that cannot reasonably be used to identify you, with partners or the public.
7. Data Retention
We retain your account information for as long as your account is active, and for a reasonable period thereafter to comply with legal obligations, resolve disputes, and enforce our agreements.
Server logs, including IP address data, are retained for 90 days and then securely deleted or anonymized. Forum posts and activity you create remain on the platform unless you delete them or request removal. Please note that content you have posted publicly may have been seen, shared, or indexed by others prior to deletion.
If your membership application is denied or your account is closed, we retain minimal records (such as email address and denial reason) as needed to prevent future abuse.
8. Cookies and Tracking Technologies
We use cookies and similar tracking technologies to operate and improve the platform. Cookies are small text files stored on your browser. We use them to:
• Keep you logged in across sessions
• Recognize your browser and associate it with your registered account
• Understand how members navigate and use the platform
• Detect and prevent abuse or unauthorized activity
We do not use cookies to serve targeted advertising. Third-party service providers (such as analytics tools) may set their own cookies, subject to their own privacy policies. Most browsers allow you to control or block cookies through your settings. Note that disabling cookies may affect platform functionality.
9. Data Security
We implement reasonable technical and organizational security measures to protect your personal information from unauthorized access, disclosure, alteration, or destruction. These measures include encrypted password storage, HTTPS/TLS for data in transit, and access controls limiting who can view sensitive member data internally.
No method of transmission over the internet or electronic storage is completely secure. While we take these protections seriously, we cannot guarantee absolute security. You are responsible for maintaining the confidentiality of your account credentials and should notify us immediately if you suspect unauthorized access to your account.
10. Your Rights and Choices
As a member of our platform, you have the following rights regarding your personal information:
• Access: You may request a copy of the personal information we hold about you.
• Correction: You may update or correct inaccurate information through your account profile or by contacting us.
• Deletion: You may request deletion of your account and associated personal data. Note that publicly posted content may need to be separately requested for removal.
• Opt-Out of Marketing Emails: You may unsubscribe from non-essential emails at any time using the unsubscribe link in those messages. Transactional emails (such as account notices) cannot be opted out of while your account is active.
• Portability: You may request a copy of your personal data in a portable format.
To exercise any of these rights, contact us at contact@publicadjuster.community. We will respond to verifiable requests within a reasonable timeframe. We may need to verify your identity before processing requests.
11. Children’s Privacy
Public Adjuster Community is intended exclusively for adults (18 years of age and older) engaged in the insurance and claims industry. We do not knowingly collect personal information from individuals under the age of 18. If we become aware that we have collected information from a minor, we will delete it promptly. If you believe a minor has registered on our platform, please contact us at contact@publicadjuster.community.
12. Third-Party Links
Our platform may contain links to external websites or resources. These third-party sites have their own independent privacy policies, and we are not responsible for their content or practices. We encourage you to review the privacy policy of any site you visit through a link on our platform.
13. Changes to This Privacy Policy
We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or other factors. When we make material changes, we will post the updated policy on this page with a new effective date and, where appropriate, notify you by email.
Your continued use of the platform after any update constitutes your acceptance of the revised policy. We encourage you to review this page periodically.
